Accounts, billing, and security

Your account can belong to several workspaces. Each workspace has its own pages, submissions, storage connections, teammates, plan, and credits. Check the selected workspace before changing a setting. Workspace billing with AI-credit information. Account and team access - Sign in or recover access. - Set up and switch workspaces. - Invite teammates and manage roles. - Manage your profile, sessions, and connected apps. Public uploaders use your request link and do not need a workspace account. Workspace membership and cloud folder access are separate permissions. Billing and administration Read plans, seats, and billing before changing a subscription or team capacity. Read AI credits for balances, renewal, purchased credits, and skipped processing. Agency workspaces can configure upload domains and sender domains. Workspace activity requires eligibility and activation. Review workspace and account deletion before removing either. A submission export does not back up cloud file contents. Data and security boundaries Use file access and storage responsibilities to review request links, storage permissions, integration grants, and retention. PigeonFiles delivers files to your connected storage and keeps the submission information needed for the workflow. Do not use PigeonFiles to collect, receive, maintain, or transmit protected health information (PHI). PigeonFiles does not offer a HIPAA Business Associate Agreement or claim HIPAA compliance. It does not claim a SOC 2 report or certification. Contact support if your use case requires these assurances. Authenticated access, scoped API tokens, and signed webhooks do not establish a compliance certification or a malware-scanning guarantee. Keep passwords, tokens, and payment card details out of support messages.

Delete a workspace or your account

Read the confirmation dialog before deleting a workspace or account. These actions can remove access and records you need later. Export the records you must retain and check who owns the storage connections first. The account deletion confirmation, before any destructive action. Delete a workspace The workspace owner can find the deletion action in workspace settings. Check the workspace name in the dialog. Review its warnings about pages, submissions, teammates, and subscription state before confirming. If the workspace should continue without you, transfer ownership through Team settings instead. Replace storage connections owned by a departing member and test affected destinations before removing that person. The workspace deletion dialog asks you to confirm the workspace name. Delete your account Open Profile Settings and find the account deletion action. Follow the ownership requirements shown in the dialog. You may need to transfer or delete workspaces you own before proceeding. Check subscriptions and retain any invoices you need. Deleting an account, removing a teammate, changing a seat quantity, and cancelling billing have different effects. Follow the billing status shown in Billing. Files in connected storage Review files in Google Drive, Dropbox, or OneDrive through that provider. Do not use account deletion or disconnecting storage as a way to erase a cloud folder. PigeonFiles records and provider files have separate lifecycles. If you need help meeting a deletion or retention request, contact support before confirming. Do not include private files, access tokens, or passwords in the request.

Invite teammates and manage roles

Open Settings > Team to manage workspace members and invitations. Owners and admins can manage the team; only the current owner can transfer ownership. Team settings showing members and available seats. Invite a teammate 1. Click Invite member or an available seat’s invite action. 2. Enter the teammate’s email address. 3. Choose Member or Admin. 4. Review any paid-seat confirmation. 5. Send the invitation after you have checked the address and role. The invitation dialog with email address and role. Free and Solo include one person. Pro includes three; Agency includes five. On Pro and Agency, an invitation beyond your included capacity may require a paid seat. The app shows the charge and new recurring total before confirmation. The invitation is sent after payment for added capacity is verified. Pending invitations count toward capacity. Choose a role Role Access Member Create and manage upload pages and storage connections, view and export submissions, and view billing. Admin Member access plus team, workspace, billing, integration, and eligible activity management. Owner Admin access plus workspace deletion and ownership transfer. Plan limits still apply. A role does not unlock a paid feature, and workspace access does not grant permission to open a destination file in Google Drive, Dropbox, or OneDrive. Accept or repair an invitation The recipient opens the invitation and signs in with the invited email address. If the invitation says it belongs to another account, sign out and use the correct address. For an expired or cancelled invitation, ask an admin to send a replacement. Admins can use the invitation’s menu to Resend invitation or Cancel invitation. Respect the resend countdown. Check the address and spam folder before sending repeated invitations. Change access or remove a member Use the member’s actions menu to Set as admin, Set as member, or Remove member. Review the confirmation. Removal ends workspace access; a paid-capacity reduction has its own billing confirmation and outcome. A billing failure does not restore the removed membership. If the departing person owns a storage connection, replace the affected file destinations so new uploads can continue. Transfer ownership The owner chooses Make owner on the intended existing member and confirms the transfer. Choose someone who should control billing, membership, and deletion. Transfer ownership before deleting your account if the shared workspace must remain available.

Manage plans, seats, and billing

Open Settings > Billing in the workspace you want to change. Owners and admins can manage billing; other members can view the billing information their role permits. Plan selection showing the available workspace plans. Choose a plan for your workflow Plan Common reasons to choose it Free One-person file collection, one file field per page, and a three-day page availability window. Solo One-person work with more file fields, no plan-imposed page lifetime, embeds, password protection, QR codes, and configurable team email notifications. Pro Team work, conditional questions, advanced routing, multiple storage connections, Google Sheets, webhooks, API access, Zapier, and Make. Three included seats. Agency Pro features plus custom upload domains, sender domains, white-label options, and five included seats. Workspace activity needs separate activation. All plans include AI processing subject to credits and limits. Check the current plan card for price, currency, billing interval, and included capacity before accepting a change. Review the change before paying Choose Choose a plan or Change plan, then read the review screen. Check the amount due now, the recurring total, seat quantity, and when the change takes effect. Follow the timing shown for that change; an upgrade, downgrade, and cancellation can have different schedules. If checkout closes or the result is uncertain, return to Billing and check the current plan and payment status before trying again. Avoid submitting another purchase while the first result is unresolved. Use the payment-method and invoice actions in Billing when available. Manage team capacity Pending invitations occupy capacity. Remove an unused invitation before buying a seat you do not need. Removing a teammate ends their access; reducing paid capacity is a separate billing change. Check both outcomes. For a move to Solo, the app can ask you to prepare capacity before confirming the plan change. Complete the second review if you still want Solo. Closing that review can leave the seat change completed while the original plan remains. After a downgrade or cancellation Review pages that use features outside the new plan. A page may need compatible settings before you can enable it again. Free page windows and workspace access limits apply after the paid term ends. Check the plan and renewal date shown in Billing rather than assuming that closing checkout cancelled the subscription. For an incorrect amount or unresolved payment, send support the workspace name, time, and invoice reference. Do not send card details.

Manage your profile, sessions, and connected apps

Open your account menu and choose Profile to manage your own identity and security. Workspace settings affect the selected workspace; profile settings belong to your account. Profile settings with account details and preferences. Change your profile or preferences Use the edit action beside your name to change it. Review your profile photo, language, and theme settings in the same page. Your preferred app language and an upload page’s public Form language are separate settings. The account section shows the sign-in email and account details. For an email-address or account-ownership problem, contact support; changing a workspace name does not change your sign-in identity. Review signed-in devices Open the Security tab and inspect Sessions. The current session is identified as Current Session. Use Revoke to end another session, or Revoke all others to sign out your other devices. The current session remains open. Profile Security with the current session and connected apps. If a device looks unfamiliar, revoke it and review your sign-in provider’s security. Do not send session identifiers or authentication links through support chat. If the app asks you to Sign in again, complete fresh authentication before continuing. A failed session-list request does not establish that there are no other sessions. Retry the read before making a decision. Disconnect a sign-in provider The profile’s sign-in methods section lists linked Google or Microsoft identities. Review Disconnect before confirming. You can still sign in through your email address. Disconnecting a sign-in method and removing a storage connection are separate tasks. To stop deliveries to a cloud account, review Settings > Destinations. Revoke an AI or automation app Review Connected apps in Profile > Security. Check the app and workspace, then use Revoke to remove its authorization. The app must reconnect and obtain approval before it can use PigeonFiles again. Workspace admins can also review workspace grants in Settings > Integrations > Connected AI apps. Revocation can stop an automation that depends on that grant. Identify its consumer before removing it. For API credentials, use API Tokens; they are separate from OAuth-connected apps.

Understand file access and storage responsibilities

PigeonFiles sends uploads to the cloud destination configured on each file field. Your storage provider controls access to the stored files. Your PigeonFiles workspace controls access to page configuration and submission records. Storage connections in workspace settings. Limit access at each layer - Share the upload page with the people who should submit. Use a page password on a supporting plan when the request needs one. - Invite teammates with the role they need. Members can manage upload pages and submissions; use admin access for people who need team or workspace administration. - Review cloud folder permissions in Google Drive, Dropbox, or OneDrive. A page password does not change those permissions. - Give integrations only the access their job needs. Review API tokens and connected-app grants and revoke ones you no longer use. A shared upload link is a collection endpoint. It does not give its holder access to your workspace or a general listing of your cloud folder. Treat answers such as a client ID as supplied data, not proof of identity or permission. Records and files have separate lifecycles A submission record holds answers, status, and file references. A CSV or activity export does not contain a backup of the uploaded file contents. Keep backups and retention controls at the systems where you store the files. Moving a cloud file, changing its permissions, disconnecting a storage account, or removing a teammate can affect access to an existing reference. Check provider access before assuming a missing preview means that no file arrived. Before a teammate leaves Transfer workspace ownership if needed, replace connections they own, review automation credentials, and revoke their account sessions or connected-app grants through the appropriate controls. Test affected destinations before relying on the next live submission. For suspected unauthorized access or a deletion request, contact support. Send identifiers and error details, not tokens, passwords, or private file contents.

Sign in and recover account access

Sign in at app.pigeonfiles.com with the email address you use for your workspace. Public uploaders can send files without signing in. The PigeonFiles sign-in screen with email and available sign-in providers. Sign in with email 1. Enter your email address and click Continue. 2. Open the sign-in email in your inbox. 3. Follow its link to finish signing in. The sign-in link expires after five minutes. Use the most recent message. If you need another link, wait for the resend timer, then click Resend link. Use Use different email if you entered the wrong address. Use Google or Microsoft Choose Continue with Google or Continue with Microsoft if the provider appears on the sign-in screen. Choose the identity associated with your PigeonFiles account. Your organization’s provider policies can affect access. A Google sign-in connection and a Google Drive storage connection serve different purposes. Signing in does not choose where your uploaded files go; configure that in Destinations. The sign-in email did not arrive Check the address shown on the confirmation screen, then check spam, junk, and any work-email quarantine. Search for PigeonFiles and use the newest message. If your company filters sign-in email, ask its administrator to check the quarantine. Request another link after the countdown. If it still does not arrive, contact support with the address you tried and the approximate time. Do not send the sign-in link or verification code. The link expired or was already used Return to the sign-in screen and request a fresh link. Open it in the browser where you want to use PigeonFiles. Avoid opening an old message again after you have requested a replacement. My workspace is missing Check the email address of the signed-in account and the selected workspace. Invitations belong to their invited email address. Switch workspaces or sign in with the invited account rather than creating another workspace to regain access. My session expired Sign in again. If a sensitive action asks for fresh authentication, finish sign-in and return to that action. For an unfamiliar session, review Profile > Security.
